Location: Remote (based within CET ±2 hours)

Employment Type: Freelance 20 hours

Tasks

Responsibilities:
Masterfully manage calendars and schedules to optimize daily operations.

Handle email correspondence efficiently, ensuring clear and timely communication.

Design, create, and maintain advanced Google Sheets to support data-driven decision-making.

Utilize Notion extensively for project management, documentation, and team collaboration.

Facilitate and support virtual meetings and events, ensuring seamless digital experiences.

Streamline processes through automation, improving efficiency and accuracy in data entry and reporting.

Prepare detailed reports and presentations that highlight insights and drive business strategies.

Address and manage a range of general administrative tasks and ad hoc projects focused on operational improvements.

Requirements

General Requirements:
✔️ Proven experience as a virtual assistant or in a similar operational role.

✔️ Exceptional organizational and time management skills, with a focus on efficiency and process optimization.

✔️ Advanced proficiency in Google Sheets and Notion, with a strong grasp of automations and system integrations.

✔️ Keen attention to detail and a commitment to accuracy.

✔️ Excellent communication skills and adept at problem-solving.

✔️ Tech-savvy with a reliable internet connection.

✔️ Available during key business hours within the Central European Time zone (flexibility required for some overlap).

Role Specific Requirements:
✔️GSheets:

Proficiency in all advanced features of Google Sheets, including complex formulas, pivot tables, connected sheets and data validation.
Strong skills in data analysis, reporting, and creating intuitive dashboards and visualizations.
Experience with integrating Google Sheets with other platforms using tools like Zapier and Make to enhance workflows.
✔️Notion:

Deep understanding of Notion’s databases, templates, and API.
Ability to design, implement, and manage complex workflows and systems within Notion to improve productivity and collaboration.
Skills in project management using Notion, including setting up timelines and tracking progress.
Experience with Notion integrations to create seamless ecosystems.
✔️Automation:

Familiarity with no-code platforms such as Zapier and Make.
Strong skills in automating business processes to enhance productivity and reduce manual efforts.
Ability to provide technical support and training on new tools and workflows.
✔️Considered a Plus:

In-depth knowledge of LinkedIn’s platform for networking, content creation, and personal branding.
Understanding of content marketing strategies, particularly for LinkedIn.
Ability to make data-driven decisions to improve strategy effectiveness.
